Using the file

Open, filter and import your CSV

Practical steps for the first hour with the file. Every tool below works through its standard CSV import.

Open the CSV without breaking ZIP codes
  1. Excel: Data → From Text/CSV, choose UTF-8, then set Zip, Phone, Cell and License Number columns to Text before loading. Opening by double-click drops leading zeros and may reformat numbers.
  2. Google Sheets: File → Import → Upload, and untick “Convert text to numbers, dates and formulas”.
  3. Numbers (Mac): open the file, then format ZIP and phone columns as Text.

Maryland ZIP codes start with 2, so leading zeros aren't an issue here, but phone and license formats still are.

Filter to the agents you want
  • Filter County for a territory, or City for a tighter postal area.
  • Filter License Type to separate Brokers and Associate Brokers from Salespersons (Complete Package).
  • Group by Office Name to find offices with many agents; useful for lunch-and-learns or office presentations.
  • Filter blanks in Cell or Phone before you plan a call list, so the count you expect matches what you have.
Prepare a CRM import
  1. Keep an untouched copy of the original file.
  2. Add a Source column (for example “MARealEstates Maryland 2026-10”) so you can trace and remove these contacts later.
  3. Remove contacts already in your CRM or on your suppression list. Match on Email.
  4. Map columns: First Name, Last Name, Email, Company ← Office Name, Street ← Address, City, State, Postal Code ← Zip. Keep County, License fields and Association as custom fields.
  5. Import a 20-row test batch first and check the field mapping before importing everything.

CSV import works in most CRMs, including HubSpot, Salesforce and Follow Up Boss. We have no native integration with any of them.

Examples by buyer
  • Loan officer: filter to the counties you lend in, Salespersons and Associate Brokers, then send a short introduction with your rate-sheet sign-up.
  • Title company: group by Office Name and contact managing brokers (License Type = Broker) first.
  • Home inspector or photographer: filter by City within your drive radius; use office addresses for printed mailers.
  • Recruiter: filter by License Type and Office Name to see office size; confirm license status with the Real Estate Commission before reaching out.
  • Software company: use Association and Office Name to segment by brokerage size.
Outreach rules to know before you send
  • A business email in a data file is not consent to receive marketing. Commercial email must follow the FTC CAN-SPAM rules, including a working opt-out and your physical address.
  • Calls and texts to cell numbers fall under separate federal rules. See the FCC's telemarketing guidance.
  • Many sending platforms restrict purchased lists. Check your provider's acceptable use policy before importing.
  • Check an agent's license status with the Maryland Real Estate Commission.
